Do you need a team of interpreters for your meetings, but don’t know how to go about getting it set up? We’ll take you through all the steps involved in successfully getting your meeting interpreted so it goes off without a hitch!
Steps to Organizing an Interpreting Service for Your Meetings
Step 1: Setting Up Your Meeting
First, following your interpreting request, we take a close look at exactly what you need. The aim of this personalized approach is to draw up a quote based on the following criteria:
- Meeting Length
- Face-to-face, hybrid or remote (videoconferencing)
- Target and Source Languages
- Technical Requirements
- Recording of Translations
- Voice-over Post-Editing or Subtitling, If Required
Once you’ve signed our quote, we book our teams of interpreters and start setting up your meeting. We draw up a roadmap, prepare the equipment in advance and carry out sound tests on site. Quality equipment is crucial to ensuring the success of your event experience. Sound tests including simultaneous translation audio feedback are carried out for remote or hybrid meetings to ensure that everything works seamlessly on the big day.
Step 2: Preparing our Interpreters
At this stage, we work hard to ensure nothing is left to chance in preparing your meeting. You might be dealing with highly complex topics and using very specific technical terms, so in some cases we may need to use a glossary. Our interpreters are all experts in one or more technical fields, and are chosen according to your sector of activity, so as to be fully proficient in the subject matter. Nevertheless, preparation is essential.
Do I Need to Prepare Documents for the Interpreters?
There’s no requirement to do so, but as mentioned above, you can approve the prepared glossary if you wish. The glossary can then be reused on other occasions to ensure the same terminology is used every time.
How Does Simultaneous Interpreting Actually Work During a Meeting?
On the big day, we arrive (or connect, if working remotely) an hour before the meeting, so that we’re absolutely ready when it starts. Our simultaneous interpreting solution lets you choose the language you want to listen to, either on a smartphone app or with standard translation headsets. You can also listen to the speaker in their native language on the appropriate channel (interpreting is provided in both directions if required). Alltradis offers a truly inclusive experience, helping people to overcome language barriers and fostering global communication.
After the meeting, we’ll send you a satisfaction questionnaire and, if applicable, a video with voice-over or subtitles.
The Advantages of Simultaneous Interpreting
Simultaneous interpreting offers an optimal experience, both for the speaker and for listeners: the speaker is able to address an attentive audience who can concentrate fully on what they are saying.
When you call on an experienced translation and interpreting agency for your conferences/seminars/debates, you can be sure that your teams will have access to an accurate transcription of what has been said. This ensures smooth interaction between participants, with just a few seconds’ delay between the source language and the translation.
